4. Purpose and legal basis of processing personal data
Personal data is processed in order to maintain customer relationships, to communicate, to invoice, and to carry out the company’s field of business — the development, manufacture, consulting and sale of environmental technology. The legal basis for processing is primarily the performance of a contract, the legitimate interest of the controller (for example customer communication and business development), or the separate consent of the data subject.
5. Data content of the register
The register may contain the following data:
- The data subject’s first name and surname
- Contact details (email address, telephone number, postal address)
- The organisation represented and the person’s position
- Information related to the customer relationship, ordering of services and invoicing
6. Regular sources of data
Personal data is collected as a rule from the data subjects themselves when a customer relationship or contract negotiations begin, through forms on the website, by email or in the course of other communication. Data may in addition be collected from public registers, such as the Finnish Trade Register or company websites.
7. Regular disclosures and transfers of data outside the EU or the EEA
As a rule, data is not disclosed to third parties without the data subject’s consent, except in situations required by legislation or where the disclosure relates to the operations of the company’s subcontractors (for example an accounting firm or an IT service provider). Data is not transferred outside the EU or the EEA unless it is necessary for the technical implementation of a service or an IT system.
8. Principles of protecting the register
The company does not maintain manual registers. Data processed electronically is protected by technical measures in line with industry standards (for example passwords and firewalls). Data is processed only by those employees or representatives of the company whose duties require the processing of personal data. Everyone processing personal data is bound by a duty of confidentiality. Where data is processed by a person through a subcontracting or other contractual relationship with another company, that contract secures confidentiality and secrecy on terms comparable to the employment relationships of the company’s own personnel.
9. Rights of the data subject
Under the General Data Protection Regulation (GDPR), the data subject has the right to:
- Request a copy of the personal data concerning them (right of access).
- Require the rectification of inaccurate or incorrect data.
- Require the erasure of their personal data (the “right to be forgotten”), unless the company has a statutory obligation to retain the data (for example under the Accounting Act).
- Restrict or object to the processing of their data.
- Require the transfer of the data from one system to another.
All requests concerning these rights must be submitted in writing to the contact person named in section 1 or 2. If a data subject considers that their personal data has been processed unlawfully, they have the right to lodge a complaint with the Data Protection Ombudsman (Office of the Data Protection Ombudsman, Finland).
